Super De-Duper (Merge Duplicates in Rent Dynamics)

Super De-Duper

Super De-Duper is a tool that is used to merge duplicate leads in Rent Dynamics. You are able to access this feature on the Search Actions page, the Guest Card Search page, as well as on the 1st-time Lead Card.

How To Find It

Before you can use the Super De-Duper tool to merge duplicate leads, you have to tell it which leads you want to merge. This can be done in 3 separate locations:

Search Actions

If you are searching for a specific person on the Search Actions page and multiple results are returned, you can compare duplicates for merging by simply checking the box next to their name and clicking the “COMPARE” button.

  

NOTE: Leads from different communities cannot be merged.

Guest Card Search

If you are searching for a specific person on the Guest Card Search page and multiple results are returned, you will follow the same process as above to merge any duplicate leads.

Lead Card

When filling out a Lead Card for a brand new prospect, we will use the phone number and email address to search for any possible duplicates. If there is already a person in the system with the same phone or email, we will display this notification:

  Clicking on the “View Duplicate Info” button will launch the Super De-Duper tool.

How To Use It

The Super De-Duper tool has two primary functions -- eliminating existing duplicates by merging existing leads and preventing new duplicates by proactively searching for possible duplicates when you are filling out a new lead card.

Eliminating Existing Duplicates

After you have selected a list of leads to compare and clicked the “COMPARE” button, the Super De-Duper tool will launch, and you will be given the option to select which lead info to retain by clicking the “Select Info To Merge Records” OR cancel the merge entirely.

Once you have decided what information you want to keep, click the “Complete Merge” button to complete the process.

NOTE: Due to the way our back-end services work, the merged leads won't actually be deleted from the database for another couple of hours. We acknowledge that this delay might cause some confusion, but this is a known issue at this time. We just ask that you be patient; merged leads will be deleted in good time.

Preventing New Duplicates

If we have detected a possible duplicate (or duplicates) when you are filling out a Lead Card for a brand new prospect, a notification will pop up below the person's contact info. Clicking the “View Duplicate Info” button will launch the Super De-Duper tool.

If you choose to merge, you will need to choose which data to keep with the guest card. Clicking “Complete Merge” will merge all of those duplicates into a single lead and return you to the Guest Card. Instead of filling out a “First-Time” Lead Card, you will now be filling out a “Repeat Lead” card for the existing lead.
