In order to prevent the spread of Covid-19, Rent Dynamics has released a feature that will help your communities identify when a lead or resident has exhibited signs or symptoms of COVID-19, or are at risk of transmitting the virus. This feature will be available on our Lead Management, Tour.Apartments, and Contact Center products. In order to turn this feature on, please contact your account manager.
Lead Management
Lead Cards: When this feature is turned on, new questions will be asked when a new lead is created or updated, a tour is scheduled, or a follow up is performed.
These questions are:
- Have you experienced any of the following Coronavirus (COVID-19) symptoms in the past two weeks?: Cough, Fever, Shortness of Breath?
- Have you travelled to any place considered high risk for Coronavirus (COVID-19), or been in close contact with anyone with Coronavirus (COVID-19) in the past two weeks?
In addition to those questions, there will also be a link on the contact card to the CDC website, where the user can view any new updates about COVID-19 that the CDC has posted. The user will have three options to pick from when asking these questions, “Yes”, “No”, or “Decline to Answer”

If the person responds “Yes” to either of the questions, your community will automatically receive an email of their contact card, even if the leasing agent did not utilize the “Send To” function on the contact card. The email will include this message at the top:

If the person responds “Decline to Answer” to either of the questions, your community will receive an email their contact card, this time with a different message at the top:

If the person responds “No”, to both of the questions, the system will only email your community the contact card if the leasing agent utilized the “Send To” function on the contact card.
Follow Up: During follow-ups, your leasing agent will have the option to ask the two questions, and have them save in the system.
Example:

Residents: In order to protect your staff, when a resident submits a service request, your leasing agents will have the option to ask them the two questions regarding whether they have exhibited symptoms or are at risk of transmitting COVID-19. Similar to leads, if they respond “Yes” or “Decline to Answer”, your community will receive an email notifying you that the resident is either at risk of transmitting the virus or has declined to specify whether, or not, they are at risk of transmitting the virus.
In addition, the messages sent out via your community’s calling tree will include new verbiage indicating that they are at risk of transmitting the virus or have declined to specify whether or not they are at risk of transmission.

How To Utilize the COVID-19 Feature

Tour.Apartments
When this feature is turned on, the new questions related to COVID-19 will be asked when a lead is scheduling and rescheduling a tour, as well as when a walk-in lead is being processed.
When scheduling or rescheduling, the two questions will appear at the bottom of the screen, before the lead clicks “Schedule My Tour”. The lead will not be able to submit a tour without clicking “Yes”, “No”, or “Decline to answer”.
